Session 3: Academic Maintenance

This page will outline the topics included in the Academic Maintenance session.

Overview

This session covers the records that describe the academic offerings made by your institution, including the campus or delivery location (the Provider), programs of study (the Base Course), and the individual tuition subjects (the Base Unit) that when taken together constitute an award, degree, or other academic entitlement.

By the end of this training session, you will have sufficient knowledge to take responsibility for creating and maintaining provider, base course, and unit records.

  • Evaluate the roles required to support specific areas of functionality within Paradigm

  • Explain the purpose of the Base Course record and its relationship to the real-world offerings of an academic institution

  • Articulate the function of a Base Unit and the types of relationships that units may have with one or more Base Course records.

  • Differentiate between the different sets of fields that must be used to comply with one or more government reporting standards

1. Provider

Duration: 60 minutes

Complexity: Medium

The Provider record captures information about the different kinds of organisations, businesses, or other formal entities that provide some form of service to students. This section includes an overview of the roles that may be assigned to providers and how this impacts the types of data relationships between records that may be captured within Paradigm.

2. Base Course

Duration: 45 minutes

Complexity: Medium

The Base Course record represents the award, qualification, or other academic entitlement that the student studies and works toward earning. The terms Course and Program are used interchangeably within Paradigm and our support materials, meaning they should be considered as being equivalent terms.

This section will give you further details on the concept of a Base Course in Paradigm, including:

  • An overview of what a Base Course is in relation to other records

  • Describing the purpose and potential use of fields found on the Base Course screen

  • Outlining how to correctly code a Base Course record, and any linked associated records, to satisfy government reporting requirements

3. Base Unit

Duration: 30 minutes

Complexity: Medium

A Base Unit is one of the small constituent parts that when combined together form the overall program or course of study. The Base Unit reflects the body of work that a student undertakes during each time period (e.g. term, semester, or trimester) in order to progress in their studies. The material covered in this section includes:

  • An overview of what a base unit is in relation to other records,

  • Describing the purpose and potential use of fields found on the Base Unit screen

  • Introduction to the process of defaulting the values of specific fields to make the management of Scheduled Unit records easier

4. Base Assessment

Duration: 15 minutes

Complexity: Medium

The Base Assessment record is recommended data entry for providers that wish to track the outcome of student assessment tasks within Paradigm.

This record is used to define what a student needs to earn before being eligible to achieve a pass equivalent outcome in a specific Base Unit. The Base Assessment essentially functions as an outline that may be used to trigger various bulk grade calculations to derive final outcomes for student unit enrolments at the end of a time period (e.g. term, semester, or trimester).

Base Assessment records may be optionally recorded against a Base Unit to establish a default assessment structure to aid in the management of Scheduled Unit records. Alternatively, the assessments may be defined directly against the Scheduled Unit.

6. Extension

Duration: 90 minutes

The following tasks are recommended for users to complete at the conclusion of each training session to ensure that the content is understood and to establish familiarity with Paradigm terminology and its user interface.

Any records created during this section may be raised for review at the beginning of the next session to ensure that the data has been entered correctly, for example, meeting the relevant government reporting standard.
