Overview

Now that you are done creating events and sessions, you have the option to publish your timetable in HTML format. This is very useful if you want other staff members to view all, or some part of the sessions or events, without the need of getting them logged into Rapla. This knowledge article will guide you on how to publish an HTML Calendar View of the sessions or events in Rapla.

NOTE:

  • The HTML output, view, or display will depend on your current Main Calendar View. It is very important that you are already familiar with all the factors that will affect your main view before you use the Publish menu in Rapla. You can revisit the page if you have questions with the instructions of the Workflow below.

  • Once you publish or share the HTML link, it presents a live calendar view of Rapla such that when an admin or other users change or edit the sessions of that timetable, the users who view from the HTML link your provided will get an updated (spontaneous) view of the changes made.

Workflow

BE ADVISED:

  • The only variable that the user can control or navigate in an HTML view is the date section;

  • The main HTML view page layout is dependent on the Calendar Types view you’ve selected as discussed in the page section; and

  • The sessions or events included in the published HTML page are dependent on the variables you’ve selected, and the you’ve applied.

1. After you’ve set your Main Calendar View, click the Publish button on the upper left-hand side of the Top Menu Bar (as highlighted in the screenshot below).

2. A new pop-up window will appear. Refer to the following fields or options you can set.

The web link for you to copy and paste into a web browser. NOTE: The link on this section is specific to the configurations you’ve made in Rapla prior to publishing, any changes made to the sessions or events will automatically be updated when the page is refreshed.

3. With the copied URL, click the Save button.

4. Open a new window, copy and paste the URL you just copied to view the HTML Calendar View of the sessions or events selected (see sample display output below). You can also send this link to whoever you want in your business or institution.

SUCCESS:

The URL that you copied and is about to send is a live link, it presents the live calendar view of Rapla such that when the admin or other users change or edit the sessions on the timetable, the users who view from the HTML link will get the spontaneous view of the calendar/timetable.
