Merge duplicate student records

This page will provide you with the recommended workflow on how to safely merge duplicated student records created in Paradigm.

To safely merge duplicate student records in Paradigm, begin by addressing the initial question below and then proceed accordingly:

  • NO related enrolments yet

    • Has the Student record been pushed to TCSI?

      • NO - the Student record has not been pushed to TCSI. Decide which record to keep and delete the other Student record.

        1. To delete, load the Student record to delete.

        2. Navigate to Student > Student Details > Edit Details menu.

        3. Under the PERSONAL DETAILS section, click the DELETE STUDENT button.

        4. If an error occurs during record deletion, raise a ticket and attach a screenshot of the error message.

      • YES - the Student record has been pushed to TCSI. Decide which record to keep and delete the other Student record from both TCSI and Paradigm.

        1. To delete the Student record in Paradigm, load the Student record to delete.

        2. Navigate to Student > Student Details > Edit Details menu.

        3. Under the PERSONAL DETAILS section,

          1. Set the Status to Inactive, and then;

          2. Click the DELETE STUDENT button.

        4. Delete the Student record directly in the TCSI Data Entry Portal.

        5. If an error occurs during record deletion, raise a ticket and attach a screenshot of the error message.

  • YES - already have enrolment records

    • Have the Student enrolment records been pushed to TCSI?

      • NO - the enrolment records have not been pushed to TCSI. Decide which Student record to keep. We suggest retaining the old student record and deleting the newly created one.

        1. Transfer the Course and Unit Enrolments to the Student record to be retained. Follow the instructions provided here.

        2. Delete the other Student records starting from the Unit Enrolments, the Course Enrolment, and then the Student record.

          1. To delete the Unit Enrolment records, refer to the instructions here.

          2. To delete the Course Enrolment record, navigate to Student > Course Enrolment > Course screen.

          3. Under the COURSE ENROLMENT LIST section, select the Course Enrolment(s), and click the DELETE SELECTED COURSES.

          4. Finally, to delete the Student record, navigate to Student > Student Details > Edit Details menu.

          5. Under the PERSONAL DETAILS section, click the DELETE STUDENT button.

          6. If an error occurs during record deletion, raise a ticket and attach a screenshot of the error message.

      • YES - already have Course and Unit Enrolments reported to TCSI

        • Do the Unit Enrolments have Student Loans past census date with final loan status?

          • NO - there are NO Unit Enrolments past Census Date with Final Loan Status. Decide which Student record to keep and delete the other records from both TCSI and Paradigm. We suggest retaining the old student record and deleting the newly created one.

            1. To delete the Unit Enrolment records, refer to the instructions here.

            2. To delete the Course Enrolment record, navigate to Student > Course Enrolment > Course screen. Scroll down and look for the DELETE FROM TCSI button.

            3. Under the COURSE ENROLMENT LIST section, select the Course Enrolment(s), and click the DELETE SELECTED COURSES.

            4. Finally, to delete the Student record, navigate to Student > Student Details > Edit Details menu.

            5. Under the PERSONAL DETAILS section, click the DELETE STUDENT button.

            6. After deleting the other record, proceed with the normal process of Course and Unit Enrolments to the Student Number you chose to keep.

            7. If an error occurs during record deletion, raise a ticket and attach a screenshot of the error message.

          • YES - there are Unit Enrolments past Census Date with Final Loan Status. It is recommended that you contact TCSI on how to best merge the records and then contact us for any assistance in fixing the records in Paradigm.
