View Tax File Numbers

Overview

For administrators of Paradigm with the highest access or permission level assigned in your business or institution to view and handle Tax File Numbers (TFNs), the system allows viewing and assessing these data if required and deemed necessary. Before you proceed to the workflow section, it is recommended that you read the implications first.

Implications

WARNING:

Exporting the data from this page and storing it in ANY way breaches the Privacy Act. Do not copy TFN data and store it externally to Paradigm.

NOTE:

Users who are not approved ATO-approved officers are prohibited from handling TFN records. This is in line with the ATO policy in regard to handling TFNs within Tertiary providers and in conjunction with the Privacy ACT 1988 as outlined below.

Silverband will NOT provide TFN details or access to users who are not the designated ATO-approved officer.

In addition, any TFN that is extracted by the ATO-approved officer must be used or kept in a manner that complies with the Privacy ACT, failure to do so puts the institution and individuals at risk of breach of the Privacy Act and prosecution under the failure to comply may occur.

The Privacy Act 1988 (Privacy Act) is an Australian law that regulates the handling of personal information about individuals (in this case students). This ACT sets out standards, rights and obligations for the handling, holding, use and accessing and correction of personal information (including sensitive information). Private Tertiary Education providers are specifically named as being under this act.

Section 17 of the Privacy Act addresses Tax File Numbers - Tax File Numbers (TFNs) are to be restricted in access to only those individuals who require direct access to them and must be stored in an ENCRYPTED format.

This Report will allow power users to access TFNs in a human-readable format to access missing numbers or numbers that do not meet the ATO's format.

Workflow

  1. Choose System > View Tax File Number menus on the side

  2. The report will now load. From here you can check the following:

    • Review the enrolment status of the students listed

    • Locate the Student record (Students are in Numerical, student Id order) to see if the student has provided a TFN

    • Check to see If the TFN has passed the TFN checking algorithm within the system and is valid (passed) or not (failed)

    • View if the student has a USI number and the date the USI number has been validated
