Request for Finance Configuration

NOTE:

This feature can be enabled on your site upon request. Certain Customer Request Type IDs can be made accessible based on your specific needs and requirements. Simply raise a ticket if you wish to have this category added to your site.

To streamline requests for finance team action, such as Bulk Invoicing, etc., you can configure default emails sent to the team based on their roles as Paradigm users. When using this feature for the first time, it's vital to establish the Request for Finance category ID to enable smooth communication via default notification emails to the finance team. Moreover, defining the roles of contacts responsible for financial management is essential for effective coordination.

  1. The Request for Finance category can be customised via the System > Edit Customer Request Category menus on the side.

  2. Select the Request for Finance category and click the LOAD button.

  1. After loading, go to the CUSTOMER REQUEST CATEGORIES section and click the EDIT icon against the Request for Finance category.

  1. The following can be customised for the Request for Finance category:

    • Visible - By default it is set as "Visible".

    • Description - You have the option to edit the description of this category

    • Default Name Template - This will serve as the subject of the email to the finance team.

    • Text Data - This will serve as the default message to the finance team responsible for handling processes related to finance. The corresponding merge fields are provided below for your perusal. This message is automatically sent to the contacts/finance team when the staff submits the request, e.g. for invoicing.

    • Manager Role Type Id - select the role type ID of the contacts you want to manage the finances. The roles assigned here are the contacts assigned to be in the finance team. Please note that this workflow assumes the existence of contacts in designated roles, such as "Accounts Department". It is imperative to ensure that contacts assigned to these roles have their email addresses accurately added to guarantee smooth communication and functionality.
