Withdraw Unit Enrolments Post-Census

This page will provide you with instructions on how to withdraw a Unit Enrolment post-census

  1. Load the Unit Enrolment that you want to withdraw post-census, see Edit a Unit Enrolment record.

  2. In the UNIT DETAILS section, look for the Enrolment Status field and select Withdrawn from the drop-down list. Click the calendar icon and choose the Withdrawal Date (on or after the Census date).

A late withdrawal penalty normally applies to students who withdraw from their studies after the census date has passed. Update the unit enrolment status to an option that reports a TCSI E355 value of β€œFailed (2)”. You will need to check on your site what enrolment status options are mapped to that specific TCSI E355 code. Refer to this Knowledge Base article for more details.

  1. In the FINANCIAL INFORMATION section, the charges for the unit will still be incurred by the student, either as a Fee-HELP / HECS-Help debt or as an upfront charge. These charges can only be remitted in special circumstances, see Reporting Remissions.

BE ADVISED:

As the student has withdrawn post-census date, the student is still liable for the full unit fees. Please ensure that the Unit Fee, Funding Type and HEIMS Loan Fee remain intact for reporting purposes.

  1. In the Academic Outcomes unit details section, update the following fields:

(A) Grade Description: Update this field to Withdrawn (This is institution-specific - please ensure correct selection according to your institution's procedures).

(B) Published Grade: Update this field to Withdrawn (This is institution-specific - please ensure correct selection according to your institution's procedures).

  1. Click the SAVE UNIT ENROLMENT button after updating the required fields to successfully withdraw a student from the unit post-census.
