Step 3 - Rename and Reorder Fields

This page will provide you with instructions on how to rename and reorder fields in your report as the third step in building a report in Report Builder

Overview

Reports column headings may not be the terms used in your business or institution, and the ordering may not be the structure you want for easy interpretation and analysis. To present the data in the desired format including any naming localisations to remove the need for manual manipulation of the data prior to its use in supporting business decision-making, Report Builder will allow you to rename and reorder fields. The renamed column names will appear in your output report headings, and their ordering as you specified.

Assumptions

Before you follow the instructions below, the following are assumed to be true:

  • You have already chosen a base or saved report and is already loaded into the system. If this is not the case, start with Step 1 - Select a Base Report instructions first; and

  • You have already selected the columns (data or information) you want to be included in your report output. If not, refer to the Step 2 - Add and Remove Fields instructions.

Workflow

  1. With all your selected fields Step 2 - Add and Remove Fields instructions, go to the below section for you to rename and reorder the fields.

  1. The column on the left (Custom Field Name) contains the current or original field names in the system. You have the option to rename this section by entering or typing a new name (the way you want it to appear on your report output). The Original Field Name column in the middle will give you the system field names in instances where you will rename the fields on the left for the purpose of reporting.

Example: from the original field names (Full Name and Enrolment Status Code), you renamed these fields to just (Name and Enrolment Status). Note that in the middle column, it will still give you the original field names of the fields that you’ve renamed.

  1. Reorder or organise the columns (data or information) the way you want them to appear in your report output (e.g. Full Name field on top, would mean seeing all full names data in the first column of your report). To reorder the column headings, click the up and down arrows under the Order column, or you can drag and drop the field name by clicking on the button before each field name, and drag and drop it to your desired sequence.

Output Format (based on the screenshot above):

Given the output format screenshot below, notice the changes reflected in the output format from renaming and reordering the fields.

  • The renamed fields (Name and Enrolment Status) are now the headings on the report output instead of the original system field names which are (Full Name and Enrolment Status Code).

  • Note also the ordering of the column fields, it now reflects

  1. Click the UPDATE REPORT COLUMNS button once you’re happy with your field names and order.
