Add Commission Rules for Agents

Adding Commission rules that can be associated with agents can be done using the same logic as adding fee rules in the system. The rules revolve around these criteria/fields when it comes to paying your agents' commissions:

Commission Rules Criteria

  • Course Provider - if their commission is dependent on each Campus Provider

  • Course Id - if the Course is a factor in how much they are paid

  • Course Level - if the Course Level is affecting their payment

  • Fee Type - based on Standard or International Fee Type

  • Commission Percentage - how much is the Agent receiving if all the other criteria are true. If the Commission Rule is just based on this field, just specify the percentage amount here, e.g. 20.0 if 20%

  • Commission Bonus Percentage - can be used to track bonuses or any additional payment or commission to be paid to agents given certain conditions are met

  • Commission Bonus Threshold - can also be used if the commission bonus threshold is specified by your business or institution

  • Date From AND Date To - when the commission rule applies to the agent

  • Country - if you have Agents that are to be paid differently for a specific Country

  • School - if Agents have a specific School that drives them to receive a specific commission percentage. NOTE that this field is a code item where you can add the names of the related schools to agents. The Code Type Id to search and edit is SCHOOL , see Edit Code Items

  • Status - set this to Immutable if it's a fixed rule that applies to selected agents

  1. To add a new commission rule, navigate to Agents > Commission Rules and click the ADD NEW button.

  2. In the SALES COMMISSION RULE DETAILS section, enter the necessary fields depending on the criteria above that apply to your agent providers.

In the example screenshot below, a commission rule is created for Agent Providers who cater to international students and they will receive a 25% commission for those enrolments.

  1. Click the SAVE button to save your rule. Repeat the same steps by clicking the ADD NEW button again to add more commission rules.

Associate an Agent with a Commission Rule

After defining your Agent Commission Rules, you can associate each Agent Provider record to a specific rule that applies to them. Doing this will automatically add the agent commission amount to each Unit Enrolment that meets the commission rule associated with the agent. This is possible as long as the Course Enrolment record is associated with the Agent Provider record, see Agents and Commissions in the Invoicing and Receipting section.

  1. To associate an Agent with a Commission Rule, load the Agent record, see Search an Agent Record

  2. Once the Agent record is loaded, navigate to Agents > Agent Commission Rules menus on the side. Enter your search criteria under the SALES COMMISSION RULE SEARCH section and click the SEARCH button.

  3. In the search result, click the ASSOCIATE (pencil icon) button to add the rule to the Agent Provider.

After associating the commission rule with the Agent Provider, the commission amount will now be reflected on each Unit Enrolment that is enrolled on a Course that is associated with the Agent Provider.

NOTE:

If an Agent Provider has two or more commission rules added and there is no difference in any of the criteria in the commission rule, the system will choose the one with the lowest commission percentage.

Change the Agent Commission Rate

If you need to adjust the agent commission rate with a different percentage in the future, disable the outdated rule by setting its status to 'Archived.' Subsequently, create a new commission rule with the updated percentage and associate it with the respective agent.
