Opening and Closing the Portal

Overview

This section gives you an overview of the time periods in Paradigm that you need to maintain each time your institution opens/closes the Online Applicant Portal and Student Enrolment online. If any of these time periods are not set properly, some of your Registration, Online Applicant Portal, and Student Portal features will not work as intended.

Workflow

NOTE

There are three (3) time period configuration records that play an important role in using the Online Applicant Portal and Student Portal. These records must be updated every time you open a Course for application/enrolment, see System > Edit Time Period for more information on Time Periods in Paradigm.

Refer to the instructions in the Edit Time Period – Edit Configuration Period section on how you can edit the following Time Periods in Paradigm which are related to both the Online Applicant Portal and Student Portal.

  • APPLICATION_PERIOD - This is the most important Time Period Configuration for your Online Applicant Portal because it defines the period that the applicant portal is open to accept applications. This time period controls the applicant registration screen, see Step 1 – Register Details. Once the through date of this time period has passed, the applicant registration screen becomes locked and no new applicant accounts may be created.

  • Scheduled Programs or Course Offers Expected End Dates - Please ensure that the offer start and expected end dates for all your scheduled programs or course offers fall within the specified application period. These dates should align with the timeframe during which applicants are permitted to apply for and make edits to their course applications.

If you are having auditions/interviews and will be using the Course Plan for Unit Enrolments, set these configuration periods:

  • UNIT_ENROLMENT - It controls the scheduled units that appear in the Course Plan for the student to enrol in.

  • ENROLMENT_PERIOD - A period that opens or closes the Course Plan to students (opens and closes online enrolments for students).
