Enrol Students in Scheduled Units

This page will provide you with instructions on how to enrol students in Scheduled Units in Paradigm.

Overview

Enrolling students in Scheduled Programs can be done in a lot of different ways. If you are using the Student Portal, the student can enrol on Scheduled Units via the Course Plan on that portal. In Paradigm, there are also different options for you on how to enrol students on Scheduled Units depending on your requirements. This knowledge article will provide the workflows on how you can enrol students into Scheduled Units within Paradigm.

Unit Enrolment Sections

Enrolling students in Scheduled Units within Paradigm can be done via the following sections:

  • ADD UNITS VIA SCHEDULED UNIT SEARCH section - Administrators of Paradigm who are given access to enrol students can use this screen. This is one way of enrolling students into Scheduled Units without constraints. To limit the selection to be the same as what you have set in the Course Plan, you have the option to enable the "Restrict Course Plan" feature, see below for the instructions.

  • SCHEDULED PROGRAM LIST section - Applicable if you are using Scheduled Programs and are offering a Scheduled Program with all its linked Scheduled Units, see Link Scheduled Units to a Scheduled Program. To enrol on a course and its related Scheduled Units via the SCHEDULED PROGRAM LIST, refer to this workflow.

  • BULK COURSE EDIT menu/screen - When there are Scheduled Units that are common among students, you have the option to enrol them via the Bulk Course Edit Screen. Refer to the instructions on this workflow: Enrol via the Bulk Course Edit Screen.

  • COURSE PLAN - The intention of this screen is for students to self-enrol into your set Scheduled Units for a particular course offering with your applied constraints on when and how the students can enrol, see Manage Course Outline

Enrolling students in Scheduled Units can also be done in bulk and via API integration depending on how your current unit enrolment records sit. Refer to the workflows below for the instructions.

Numerous methods are available for adding Unit Enrolment records to the system. Select the workflow below that best aligns with your current business needs.

Add Unit Enrolments in Bulk

Add a Unit Enrolment Manually

The instructions below only focus on manually adding Unit Enrolment records directly in Paradigm.

  1. Load the student’s record, see Search a Student record.

  2. After loading the student’s record, choose the Student > Course Enrolment > Units menus on the side.

  3. Once the Units page has been loaded, scroll down to the bottom of the page and look for the ADD UNITS VIA SCHEDULED UNIT SEARCH section.

Enter any combination of Unit Code, Unit Name, Unit Provider, Start Date, End Date (Paradigm requires at least one search criteria) and click the restrict Course Plan option if required.

By checking the Restrict Course Plan checkbox, only the scheduled units that are added to your Course Plan will be included in the search result along with your other criteria.

It is highly recommended that you do the search by Start and End Date or Semester dates, that way, only scheduled units that are created within those dates will return in your search. If not set, it will use the default dates set in the Time Period Configuration: SEARCH_SCHD_UNT_DATE.

After you apply your filters, click the SEARCH SCHEDULED UNIT button.

You can further narrow down your search by typing more filters on the Search Box (very useful if you have lots of scheduled units for that semester), just on the left side above the results table. e.g. typing the initials of the Unit Id, β€˜ComSci’.

  1. Click on either the Add Unit icon (plus sign - if only one unit is required) or the Checkboxes next to all of the required units. Select the checkbox header if you want to select all Scheduled Units.

  2. After checking all the units that you intend the student to be enrolled in, click the ENROL INTO SELECTED SCHEDULED UNITS button.

NOTE:

The ENROL SELECTED SCHEDULED UNITS AS EXEMPT button is intended for enrolling a student to Recognise Prior Learning (RPL), see Granting RPL/Credit.

Enrol via Course Plan

If the Course Plan has been created for the Course and the Units where you want the student to be enrolled, refer to the instructions on this workflow: Enrol via Course Plan. Note that students can self-enrol to units in the Course Plan via the Student Portal.

Enrol via the Bulk Course Edit Screen

When there are Scheduled Units that are common among students, you have the option to enrol them via the Bulk Course Edit Screen. Refer to the instructions on this workflow: Enrol via the Bulk Course Edit Screen.

Edit Session Enrolments

Enrolling on Scheduled Units when not done via the Course Plan doesn't mean also selecting the sessions available for the Scheduled Units enrolled. After enrolling on Scheduled Units, you might need to edit the sessions or allow the students to choose their own sessions if available.
