Student Notes

Overview

Adding notes to a student record can be done by category, notes to a student in general or could be under a specific course or unit enrolment. Any notes added to a Student record are used for internal purposes only. This knowledge article will provide a workflow on how to add, edit, print the student notes, and configure the notes category in Paradigm.

NOTE:

The notes and files screens offer overlapping functionality. For this reason, it is recommended that each institution develop an internal policy on how student information will be recorded to ensure that consistent data entry practices are maintained over time.

Add a Note Category

Refer to the Edit Code Items documentation for more details on adding code items in Paradigm.

  1. Choose System > Search Code Type menus on the side. This will open the SEARCH CODE TYPE section where you can search for the note category ID.

  2. Enter or type β€œNote_Category” in the Code Type Id field and click the SEARCH CODE TYPES button.

  3. In the ITEMS ASSOCIATED WITH CODE TYPE section, click the ADD NEW CODE ITEM button.

  1. Enter the required information. As a guide, refer to the existing Note Category information and pattern your new category to promote consistency. Click the SAVE CODE ITEM button to add the new note category. Repeat the same steps to add another.

Add Predefined Comments

Refer to the same steps as above. The Code Type Id field that you need to edit is the β€œNote_Comment”, see Edit Code Items for more details.

Add a Student Note

  1. Load the Student record, see Search a Student record.

  2. With the Student record loaded, navigate to the Student > Notes menus on the side. Alternatively, go to the Number of Notes field and click the blue number of notes on it under the STUDENT DETAILS section of the Student Summary screen.

  3. The notes section contains all notes associated with the student. Click the ADD NOTE button to add a new note for this student.

  1. In the EDIT NOTE section, you can specify your note based on the Subject, Course Enrolment Id, Unit Enrolment, Category, and pre-filled Comments and type your notes accordingly. Refer to the Student Notes Fields Record Type for a description of each field.

  1. Click the SAVE NOTE button to save the details.

SUCCESS:

The note has now been added to the Student record and can be accessed under the NOTES ASSOCIATED WITH STUDENT section. You can also check under the Student's Summary screen if the Number of Notes field has been incremented.

Edit | Print Student Notes

  1. To edit or print the Student Notes, load the Student record, see Search a Student record and navigate to the Student > Notes menus on the side. Alternatively, go to the Number of Notes field and click the blue number of notes on it under the STUDENT DETAILS section of the Student Summary screen.

  2. Go to the NOTES ASSOCIATED WITH STUDENT section and action accordingly. Click the EDIT (pencil icon) to edit and the PRINT (printer icon) to delete.
