How to report Cross-Institutional Studies where it won't result in a TCSI error

(1) How to correctly enrol a student who has a cross-institutional unit into a course of study

Prerequisite:

It is highly recommended that your institution create a base course for both β€˜Non-award undergraduate’ and β€˜Non-award postgraduate’.

Process:

  1. Enrol the student under the Non-Award course (either the β€˜Non-award undergraduate’ or β€˜Non-award postgraduate’)

  2. When the student’s cross-institution units are complete at your institution, you report their course enrolment with an E599 outcome code.

Note that do not enrol these students in your normal β€˜Masters of XX course’ or β€˜Bachelor of XX course’ as this cross-institutional student is not really being admitted to your institution in that course of study.

(2) Cross-Institutional Study Use Case – A student who is studying a unit at another institution, will credit that unit towards a course at your institution.

The key wording is as follows:

Providers are required to report a unit enrolment packet for each occasion that a student enrols in a unit of study with the provider except for units of study:

  • For cross-institutional programs where the provider is not meeting the cost of the resources for the unit of study (these unit enrolments are to be reported by the provider that is meeting the cost of the resources)

There are two possible outcomes:

Outcome 1 - Your Institution is meeting the cost of the resources meaning you must report the activity yourself.

Outcome 2 - Your Institution is not meeting the cost of the resources, meaning that the host or 3rd party provider has the responsibility to report the student activity.

Outcome 1 – you should report the unit enrolment with an EFTSL figure greater than 0, and according to the validation rules for that element.

Outcome 2 – you are not supposed to be reporting the unit enrolment. You will need to wait until the student has completed the unit at the external institution, and then code your enrolment as RPL when the outcome is known.
