Scheduled Units are the unit records that already contain the specifics of how the units are offered by your business or institution, key fields would include the start and end date, delivery mode, delivery location, fees, etc. Scheduled Units also inherit the fields in the Base Units where they are scheduled from. This knowledge article will provide the workflows on how you can add Scheduled Units in Paradigm.
The workflows below aim to address the following business requirements:
Scheduling Units ready for enrolment with options to group students given the available fields when adding Scheduled Units in Paradigm
Adding Scheduled Units with workflows you can choose - directly in Paradigm, in bulk, via API integration, an available workflow to reschedule units if you already have existing Scheduled Units that you just want to copy and reschedule for another semester
Prior to following the instructions below, the following are assumed to be true:
The Base Unit record that you want to schedule or offer already exists, see Add Base Unit.
The Time Period has been configured properly, see Time Periods: Add Scheduled Units Requirements
A new scheduled unit must be created whenever one or more of the following seven fields changes, see Scheduled Unit Record Type:
Unit Code
Unit Name
Start Date
End Date
Census Date
Delivery Mode
Home Institution (otherwise known as the location of delivery)
If any of these seven fields change then a new scheduled unit MUST be created regardless of the course the student is undertaking.
e.g. If the Students are sitting in the same room (location/institution), with the same delivery method, at the same time (start date), and learning the same material/subject (unit code), it is one scheduled unit.
There are many ways to add Scheduled Unit records to the system. Choose the workflow that applies to your current business requirements.
Contact our Support Team to discuss more details on the requirements when adding Scheduled Unit records in bulk. The fields available when adding a Scheduled Unit record to the system can be found on the Scheduled Units Record Type page.
If you know the Import Wizard menu, you can find the template and notes for importing Scheduled Unit records in the system here.
Refer to this documentation - Paradigm API Integration. Contact our Support Team to discuss more on this option.
If you have existing Scheduled Units that you want to reschedule for another semester by copying the same details, refer to the Reschedule Units Workflow for the instructions.
The instructions below only focus on manually adding a Scheduled Unit record directly in Paradigm.
Load the Base Unit record that you want to add as a Scheduled Unit, see Search a Base Unit record.
Once the required Base Unit has been loaded, choose Units > Scheduled Unit Details > Add Scheduled menus on the side.
Enter the details for as many of the fields as possible while ensuring that the information that meets the minimum field requirements has been entered to create a basic functioning Scheduled Unit in the system. See Scheduled Unit Record Type for a description of each field.
NOTE:
When you select a Provider that is a TCSI-reportable provider as the value of the Home Institution field, that will render the unit enrolment record of any student who becomes enrolled in this scheduled unit as a TCSI reportable enrolment record, also reporting all the TCSI-reportable fields every time the record is saved in Paradigm.
Selecting the Time Period from the dropdown list will automatically populate the Start and End Dates as configured in your Academic Term Time Periods, and these Start and End dates will also be automatically populated on any unit enrolments in this scheduled unit.
The Unit Status should be set as Active.
After entering all the required fields for the scheduled unit, click the SAVE SCHEDULED UNIT button. You should see a success message at the top of the screen when the unit has been successfully scheduled (as shown in the sample screenshot below).
After saving the Scheduled Unit record, you can proceed to the Add Attachments to a Scheduled Unit Workflow if you wish to add file attachments to the Scheduled Unit record.
This animated workflow demonstrates the step-by-step process for manually scheduling a unit.
Do you want the Scheduled Unit final grade or outcome to be defined by different assessment types? Refer to the Add Assessments to a Scheduled Unit Workflow for the instructions.
Does your Scheduled Unit offer available classes or sessions to choose from? Refer to the Add Sessions to a Scheduled Unit Workflow for the instructions.
All FEE-related payment or tuition contexts of the course and units are discussed in this section: Tuition Fees > Workflows.
