Create an Unspecified Credit Unit
This workflow relates to the Recognition of Prior Learning (RPL) and Credit Exemptions page for cases when you need to grant credits to units not offered in your institution.
Workflow
(1) Create a Base Unit record for the Unspecified Credit
Refer to the Add Base Units workflow for the instructions, however, you have to take note of the following fields:
Unit Code - your institution-specified Unit Code for the unspecified credit unit record
Name - your institution-specified Unit Name for the unspecified credit unit record
Home Institution - set this to a Provider record that is non-TCSI reporting, see How to make a Provider record a non-TCSI reporting one.
Credit Point Statement - set this to the equivalent number of Credit Points you want to grant to the Course Enrolment once the student is enrolled in this unspecified credit unit, e.g. 24.
Fee Exempt Unit - set this to YES if the intention of the unit is to default the Scheduled Unit and Unit Enrolment fees to 0.00.
Exclude Sessions on Course Plan - set this to YES if you are using Course Plan for enrolment and scheduling this unit using your Academic Term Time Periods.
Appear on transcript - set this to NO if the intention of the unit is just to add to the overall Course credits count and not to appear in the transcript as one of the Unit Enrolments.
Fill out the other Base Unit fields as required in your institution's data entry requirements.
Make sure to set the Unit Status to Active and SAVE UNIT.
(2) Schedule the Unspecified Credit Base Unit
After creating the Base Unit record, you can then now schedule the unit by referring to the Add a Scheduled Unit workflow. However, It is important to take note of the following fields:
Time Period - set this to one of your Academic Term's time periods if the intention is to only schedule the unit within the specified Academic Term
Start Date and End Date - set to a wide date range capturing the accreditation dates of the base unit (if the unit is accredited), or your institution-specified date range when the unit is applicable.
Census Date - leave this unset
Flexible Learning Mode - if you are not using the normal Time Period date range and not specifying your Start and End Date, set this field to YES. By enabling flexible learning, the student Unit Enrolment will inherit the start date and expected end date of the Course Enrolment, rather than the dates defined against the scheduled unit. This is a convenient solution that avoids the need for creating multiple scheduled units for every academic term.
Make sure that the Fee Exempt Unit inherits the Base Unit field value that is set to YES.
Set the Unit Status to Active and SAVE SCHEDULED UNIT.
(3) Enrol Students in the Unspecified Credit Unit
Refer to the Processing RPL or Credit as a NEW Unit Enrolment workflow for the instructions on how to add unspecified credit units to the students.
NOTE:
Once you have added the Unspecified Unit to the student's record, verify that the reported Credit Used Value in the Course Prior Credit section matches the number of Credit Points assigned to the unit.
