Create a Course Fee Plan

This page will provide you with instructions on how to add a Course Fee Tuition Type in Paradigm

Overview

If a student opts to pay their tuition on a Course Payment Plan basis independent of the normal semester payment on Unit Enrolments Fees, Paradigm allows you to create a Payment Plan option depending on your agreed payment frequency with the student.

Prerequisite Records

  • If you are using Agents, make sure that everything is set from adding the agents' records in the system, and commission rules, down to adding the agent details to the Course Enrolment record, see Add Agents to a Course Enrolment Record

  • Make sure that you have created enough semesters/term time periods that will cover the end date duration of your Courses that use Course Fee Units, see Edit Time Periods

  • The Course Fee Unit exists in the system - the one that holds and tracks the course fees, raise a ticket for this to be deployed on your site.

Workflow

  1. Load the Student Summary Page, see Search a Student Record

  2. Go to the COURSE ENROLMENTS section, click the ACTIONS button against the record that you want to create the plan and select the Edit Student Course Enrolment option

  3. In the COURSE FEE PLAN section, enter the necessary details. Refer to the description below for each field:

    • Fee Amount - the total fee amount of the Course

    • First Fee Payment Amount - enter the student's first fee payment if applicable

    • First Fee Payment Date - if the student has paid the first fee amount, enter the date here

    • Fee Payment Frequency - your agreed frequency of payment with the student

    • Payment Duration Type - and the duration of the payment frequency, e.g. monthly, weekly, etc.

    • Fee No Payments - the number of payments.

NOTE:

Refer to the Course Enrolment Record Type section if you want more details on how each field under the COURSE FEE PLAN section can be customised

Use Case: If the student will pay every 6 months in a total of 4 payments, as the course will finish in two years, so the Fee Payment Frequency will have a value of 6 with a Payment Duration Type of Monthly and the Fee No Payments of 4.

  • Course Fees - no need to select an option here, unless there are Course Fee Units that you have specified in your business or institution to be selected depending on the plan

  • Course Length (weeks) - the number of weeks the Course is to be completed

  • Tuition Fee Balance - the remaining amount the student needs to pay

  • Non Tuition Fee Balance - any other amount that the student needs to pay outside of the course total fee amount

  1. After filling out the fields above, click the CREATE COURSE FEE PLAN/USING FIRST FEE accordingly. Use the CREATE COURSE FEE PLAN USING FIRST FEE if there is an initial payment made that you want to subtract from the total course fee amount.

  2. Once it returns successful, navigate to Students > Course Enrolment > Units Edit menus on the side and check the FEE UNITS ENROLLED BY STUDENT section. It should now show you the number of Course Fee Units depending on the number of fee payments set.

Alternatively, you can also view the FEEPLAN SUMMARY in the Student Summary screen if you hover over the Institution name under the COURSE ENROLMENTS section.
